The CruCard is the primary form of identification for the University of Mary Hardin-Baylor campus. Along with identifying you, your CruCard gives you access to various privileges. Your CruCard allows you to:
- Access your residence hall after hours
- Use your meal plan
- Access library privileges
- Access the Mayborn Exercise Facility
- Use your book voucher
Your CruCard also contains a discretionary balance account called CruCash that allows you to deposit funds to spend at the following locations:
- Various Off-Campus Merchants
- Selected Vending Machines
- UMHB Campus Store
- UMHB Post Office
- UMHB Library
- Print Labs
- Counseling, Testing & Health Services
- Mayborn Concessions
- Campus Activities
- On-Campus Dining

Any student who is registered for classes must obtain a CruCard. All faculty and staff receive a CruCard.
To obtain a CruCard you must come by the CruCard Office during regular business hours. You must have a current government issued picture ID to present in order to receive a CruCard. Your initial card is free. Be prepared to take your picture or you may also submit your photo online. If you attend Cru Camp, you will be issued your CruCard then.
CruCash is a type of tender that is exclusive to the University of Mary Hardin-Baylor community. It is stored on your CruCard, and deposits are made online. Various locations on and off campus accept CruCash.

The University of Mary Hardin-Baylor CruCard is the primary form of identification on campus. Possession of this ID should be maintained at all times. The CruCard is the sole property of the University of Mary Hardin-Baylor. The CruCard is only issued to the cardholder and is non-transferable.
The CruCard Office is compliant with all government regulations and university policy and will not release information to a third party according to FERPA requirements, unless written consent has been obtained and confirmed by the Registrar’s Office. All photographs are property of the university and may be distributed within the university with a valid justification and approved written request.
Only the individual issued the CruCard has permission to use it. Any misuse will result in confiscation of the ID, a $50 fine and possible card suspension. The CruCard and its services may be revoked at the discretion of campus authorities. The ID is only valid if a cardholder is currently enrolled at or employed with the university.
This card is not a debit or credit card. Transactions will not be approved unless there are sufficient funds in the declining balance account associated with the card. The CruCard Office is not responsible for insufficient funds or failed transactions. Card balances, activity and statements can be viewed online or at the CruCard Office. Cardholders cannot make cash withdrawals from a CruCard. Cardholders cannot transfers funds from their CruCard. Cardholders cannot use their CruCard to purchases alcohol, tobacco, money orders, or giftcards.
If a cardholder feels a transaction that has posted to their account is an error, they must report the error in writing to the CruCard Office within 7 days. The CruCard Office then has 30 days to investigate the reported discrepancy. Once a decision is made, the cardholder will be notified in writing of the credit to their account or an explanation of the decision to leave the transaction on the account.
If the card is lost or stolen, deactivate it online. The university is not responsible for funds lost before the card is reported. Each initial CruCard is free. A picture ID must be presented to receive the initial card. The replacement fee is $5. There is no fee for replacing damaged cards if the card is surrendered to the office and there are no signs of deliberate negligence on the part of the cardholder. Lost cards will not be re-activated. Once a new card is issued, balances are transferred to the new card and all other cards assigned to the individual are void.
Upon graduation or other permanent departure, cardholders are entitled to a refund. Cardholders are not eligible for refunds prior to this. All remaining funds are forwarded to the cardholder’s university account to cover any existing balance. Cardholders may request a refund from the CruCard Office by submitting a refund request form. The refund will be mailed to the cardholder’s permanent address within 4-6 weeks. Once a card is inactive for one year, the remaining balance is forfeited to the university.
The terms and conditions covered are effective until further notice.
If the card is lost or stolen, immediately report it to the CruCard Office (254) 295-4218 or deactivate the card online or through your MobileID app. Do not leave a voicemail with the CruCard Office regarding a lost or stolen card. If you find a CruCard, please return it to the CruCard Office as soon as possible.
To replace your Crucard, you must come by the CruCard Office. There is a $5 replacement fee.
Dining Dollars are only associated with your meal plan. They may only be used at the Dining Hall, Chick-fil-A, Starbucks, Mabee Market, Sub Connection and the 1845 Grill. They expire at the end of each semester. For further information, visit UMHB Dining Services.
CruCash can be used at those locations, various off-campus merchants and vending machines. These funds carry over each semester and can be refunded once you permanently leave campus.

Yes. Your family and friends can make deposits to your card by using the Guest Deposit link. They must know the nine-digit number listed on the front of your CruCard to make a deposit.
Meal Plans and Dining Dollars FAQ
All students in dormitory-style campus housing are required to be on a meal plan. Everyone is defaulted to the 6 meal per week plan with $400 in Dining Dollars unless you selected a plan during the housing application process. The meal plans are loaded onto the CruCards the morning campus housing officially opens.
If you want to remain on the 6 meal per week with $400 in Dining Dollars plan, no action is needed. If you would like to change to the 10 meal per week with $300 in Dining Dollars, 14 per week with $200 in Dining Dollars, or the Unlimited with $100 Dining Dollars plan, visit the CruCard Office. Changes can be made the first two weeks of each semester. You can now change your meal plan online.
Your Dining Dollars are accepted at the Dining Hall, Chick-fil-A, Starbucks, Mabee Market, Sub Connection, and the 1845 Grill.
No. Dining Dollars are only sold in conjunction with a meal plan. All deposits should be made into CruCash. CruCash is accepted at the Dining Hall, Chick-fil-A, Starbucks, Mabee Market, Sub Connection, and the 1845 Grill along with numerous other locations.
Yes. Your Dining Dollars expire at the end of each semester.
Book Voucher FAQ
Many students will automatically be issued a book voucher by the Bursar’s Office prior to the beginning of the semester if the student’s account indicates a credit balance. These students will receive an email in their Crusader email account indicating the amount of the book voucher. If you do not receive an email indicating a book voucher amount, you do not automatically have funds available as a book voucher.
Tip – Confirm that your book voucher balance has posted to your CruCard before attempting to make purchases with it at the Campus Store.
Your book voucher remains on your CruCard through Tuesday of the second week of the semester. At that time, the remaining balance is automatically transferred back to your main account. There is no action needed on your part.
Your book voucher may only be used at the UMHB Campus Store. All merchandise in the Campus Store is eligible for book voucher purchases.
No. Deposits can only be made onto CruCash. CruCash is accepted at the UMHB Campus Store along with various other locations on and off campus.
